AI FOR BUSINESS OWNERS · BY RITG

Try AI on a small business task.

Use these three fictional examples to organize follow-ups, turn rough notes into an action list, and compare supplier quotes. Copy a prompt, try it, then check the result.

No signup or email address needed to use this kit.

THREE PRACTICAL EXERCISES

ILLUSTRATIVE OUTPUT · FICTIONAL DATA

Expected result for this fictional example

Review date: 2026-10-20. The example uses this fixed date.

Category Source Due date Quoted USD
Overdue L001 2026-10-17 $1,200
Overdue L002 2026-10-19 $800
Due today L003 2026-10-20 $1,750
Future L008 2026-10-22 $400
Future L004 2026-10-23 Unknown
Awaiting information L005 Not set Unknown

2 overdue · 1 due today · 2 future · 1 awaiting information · 2 excluded

  • L006 is excluded because it is closed. L007 is excluded because it is declined and follow-up is not permitted.
  • These are fictional quoted amounts, not revenue. The list does not send a message or establish appointment availability.

Make it yours. Try five fictional or redacted records of your own. Keep an explicit review date and preserve missing details.

Team handoffs

Give rough notes a clear next step.

Separate confirmed work from missing owners, missing dates and ideas that have not been agreed.

Details to clarify

  • Who owns the equipment-label photos (N4) and access check (N5)?
  • What due dates should be agreed for N3 and N4, and when is the next visit for N5?

N6: Optional Friday reminder; no decision has been made.

  • The input is written fictional sample text, not a transcript of recorded audio.
  • A stated plan does not prove that work has been completed.

Make it yours. Use a short note with identifying details removed. Resolve the missing owners, dates and decisions with your team before using the handoff.

Buying decisions

Compare the same order across three quotes.

A low headline price can cover fewer items. Bring quantities and listed charges onto the same basis before deciding.

ILLUSTRATIVE OUTPUT · FICTIONAL DATA

Expected result for this fictional example

Exactly 500 double-sided, full-color, 8.5 × 11-inch menus with matching paper stock, finish and specifications.

A$235B$240C$318
Same 500-menu order · USD · before tax · delivery timing not supplied
Source Printing for 500 Setup Shipping Proof Subtotal before tax
A $180 $35 $20 Included $235
B $225 Included in $225 Included in $225 $15 $240
C $145 + $130 = $275 $25 $18 Included $318
A: $180 + $35 + $20 = $235 before tax.B: $225 + $15 = $240 before tax.C: $145 + $130 + $25 + $18 = $318 before tax.
  • C’s $145 headline covers the first 250 menus. The explicitly priced additional pack costs $130.
  • Tax and delivery days or arrival dates are not supplied for any quote. These are comparable listed subtotals, not final delivered totals.
  • This comparison does not select a supplier.

Make it yours. Try two fictional or redacted offers for the same quantity and specification. Highlight missing terms before making a purchasing decision.

MAKE THE METHOD YOURS

Turn your own notes into checked next steps.

Try the fictional notes exercise first. Then choose one small recurring handoff you understand. Use safely redacted notes in an existing tool approved for that text and purpose, or make the same list manually. Keep your source beside the result.

The prompt, templates and manual method are available without an email address, purchase or RISE OS access. They do not provide an AI account, usage allowance or integration. Check your tool’s actual access, limits, fees and data settings before using it.

  1. Prepare one safe input

Remove customer names, contact details, addresses, payment information, passwords and confidential or sensitive case details. Use a fictional example if safe redaction or permission is uncertain. Keep source IDs, exact wording, a review date, timezone, source as-of and the actual Reviewer role.

  2. Fill the context, then add your notes

Copy the reusable prompt below. Replace its bracketed context fields with supported facts or Unknown/Not assigned. Replace the NOTES placeholder with one small approved input. Do not paste a blank template or assume that a requested time, idea or suggested check is assigned work.

  3. Review, correct or hold

Treat every answer as a draft. Check it against each source line using the checklist. Correct omissions and misleading wording; keep the raw answer separately. If a material fact cannot be verified, mark the affected work Held for clarification. A useful result can be an explicit hold.

Prefer to work without an AI tool?

Use the action tracker below and the same checks. No new account or software purchase is needed for this route.

  1. Write the review date, source as-of, timezone and Reviewer. Number each source line if it has no ID; preserve its wording.
  2. Separate firm decisions/holds, explicit tasks, source-reported completions, questions/conflicts and tentative ideas. A missing result does not itself create a task.
  3. Give each explicit task one row and all its source IDs. Keep an unassigned task with Not assigned; keep missing dates Not set. Preserve both conflicting values and all relative conditions.
  4. Attribute any reported completion to its source. Do not mark a suggested verification check complete, or turn an instruction about draft wording into a claim that work is underway.
  5. Compare every row with the source, record corrections and keep unresolved work held. Save the source, checked or held list, recipe and next suitable trial privately.

Save the recipe. Try one fresh example.

Copy these templates into a private location in your current tools. Keep approved input, the exact prompt, raw answer, reviewed output and corrections together. These are manual records: they do not sync, send, schedule or mark work complete.

Your next suitable trial

  1. At the next suitable opportunity within seven days, use a different approved input. Try the saved recipe yourself; do not count a memorized demonstration as a fresh trial.
  2. Run the same source and quality checks. Record whether you finished a checked draft, kept an explicit hold or did not finish. If the task does not recur, record No suitable trial.
  3. On day seven, decide Keep, Change or Stop, with one reason. Real use and repeat use need actual owner evidence. If you compare time, include preparation, drafting and waits, review and corrections; use comparable passing work. Missing measurements stay Unknown, not zero.

Help is optional. Share only your task type, what you tried, one correction and the question that remains. Keep customer details and private source links out of the group. Asking for help does not enroll you in marketing or a paid service.

BEFORE YOU START

A few useful answers.

Do I need to know how to code?

These exercises ask for plain tables and lists in an AI chat. Start by copying a prompt and reading the result alongside its human check.

Do I need to upload files or connect my business accounts?

No. The complete fictional inputs are included in each prompt, so you can try the exercises without connecting business accounts.

Can I use real customer information?

Use the fictional examples first. Before using your own material, remove identifying and confidential details, confirm you have permission to share it, and review the AI tool’s data settings.

Is the AI answer ready to act on?

Review it first. Confirm source details, missing information and current permissions. These exercises do not send messages, assign work to real people, or choose a supplier.
